How to apply settings to SurveyCTO Collect with default device configurations

If you set up default device configurations, the settings you need are applied as soon as enumerators sign into SurveyCTO Collect. That way, you do not have to set up each device manually.

Part 1: Set up device with settings

  1. Open SurveyCTO Collect.
  2. Tap the three-dot menu in the upper-right.
  3. Go to both the Admin Settings and the General Settings, and set up the device with the settings you would like applied to other collection devices.

Part 2: Set up default device configuration

  1. In a web browser, open your server console.
  2. Go to the Collect tab.
  3. Under Mobile Data Collection, click Create default device configuration.
  4. Select the user role you would like to apply the default device configuration to.
  5. Click Next.
  6. Click Receive settings from Collect.
  7. On the collection device from part 1, open SurveyCTO Collect, and go to the main menu
  8. Tap the three-dot menu in the upper-right, then tap Admin Settings.
  9. Tap the three-dot menu in the upper-right again, then tap Send Settings to Server.
  10. Wait for the popup to appear that says "Your settings have been successfully sent to your server".
  11. Return to the server console. It should now say "Settings received".
  12. Optional: The other settings: Include cases dataset, Include forms, and/or Extra instructions.
  13. Click Save.

Repeat these steps to apply the same settings to other user roles.

Part 3: Apply default device configuration

When first setting up SurveyCTO Collect

  1. Open SurveyCTO Collect.
  2. Approve all permissions when prompted.
  3. At the "Welcome to SurveyCTO!" popup, leave Run quick setup selected, and tap OK.
  4. Enter your Server name, Username, and Password.
  5. Tap the blue Run quick setup button. The settings will be applied. 

When SurveyCTO Collect has already been set up

  1. From the main menu of Survey, tap the three-dot menu in the upper-right, then tap General Settings.
  2. At the top, tap Quick setup.
  3. Tap the blue Run quick setup button. The settings will be applied.

FAQs

Under Quick setup instructions, what's this URL, and what's that QR code?

The Quick setup instructions URL directs to the SurveyCTO Collect quick setup instructions page, which includes easy instructions on how to install and set up SurveyCTO Collect. It includes links to install SurveyCTO Collect from the Play Store or the App Store.

Under Quick setup instructions, what does the Customize button do?

The Customize button includes two features you can use to customize the Quick setup instructions URL that goes to the SurveyCTO Collect quick setup instructions.

The first is Username. Normally, on the SurveyCTO Collect quick setup instructions page, for Username, it will say "Enter your username." If you set up a custom Username, it will display that username instead.

The second is Which version of Collect should they install?. By default, for Step 1: Install the app, it will include links to the Play Store and App Store to install SurveyCTO Collect. If your enumerators should use a customized version of SurveyCTO Collect, you can provide the URL to that .apk file instead, so enumerators can install that version of SurveyCTO Collect. This is rare, and you should almost always install SurveyCTO Collect from the Play Store or App Store.

Can I change the default device configuration later?

Yes! To change a default device configuration:

  1. Follow steps 1-2 from part 2 above.
  2. Go to the default device configuration you would like to change, and click Edit.
  3. Click the gray Receive new settings from Collect button.
  4. Follow steps 7-13 from part 2 above.

Once the default device configuration has been updated, have your enumerators follow the steps in part 3 to apply the new settings.

My server has more than one cases dataset. Which cases dataset will be downloaded?

SurveyCTO Collect will download the cases dataset data assigned to that user's user role, which you can change from the Configure tab of your server console. To learn more, check out our support article Multiple cases datasets.

If I disable Get Blank Form, will enumerators still be able to fill out forms that were not downloaded automatically?

Yes. There are other ways to retrieve forms, including:

  1. Not running quick setup.
  2. Opening Get Blank Form from Manage Cases after a form assigned to a case is not installed.
  3. Filling out the form using web forms.

To guarantee that enumerators can only fill out specific forms, you can set up teams, which you can learn about in our FAQ, as well as our support article How to manage your teams.

Can users sign into SurveyCTO Collect without applying the default device configuration?

Yes. If enumerators select Do nothing when first setting up SurveyCTO Collect, or if they enter their credentials directly into the General Settings instead of using Quick setup, then the default device configuration will not be applied. Make sure enumerators know how to run quick setup when signing in.
